Grievance Redressal Cell

Introduction:

The Grievance Redressal Cell has been formed in the College as per the UGC guidelines to redress the grievances of both the staff and the students. It is a vital part of the college administration. The Cell is responsible to provide a secure and contented environment to all its Staff and Students.

 

Definition of Grievance:

A Grievance shall include any kind of dissatisfaction, arising out of anything connected with Sundarban Mahavidyalaya that any stakeholder of the college thinks is unfair, unjust or inequitable.

 

Who can register?

Any stakeholder of the College can register complaints. Here stakeholder of the college refers to all academic & non-academic staff members and students.

 

Functions:

  • To accept written grievances from students and staff related to the system.
  • To create and implement a mechanism to handle the reported grievances.
  • To forward the findings to the Management if necessary for further action.
  • To listen, record and scrutinize the grievances submitted to them by the Staff and Students and take necessary steps immediately.
  • To attend to the grievances based on the authenticity and gravity of the criticisms made.
  • To represent the grievances to the concerned section which may include maintenance, transport, academic, amenities etc.
  • To convene periodical meetings to discuss whether the grievances have been settled.
  • To make a follow-up of these matters at regular intervals till their final disposal.
  • To maintain strict confidentiality, if necessary.

 

Scope:

Sundarban Mahavidyalaya makes all efforts to ensure transparency in all the activities at different stages. Taking this into consideration the college decided to provide a mechanism to students for redress of their grievances. The grievances may broadly include:

  1. Academic Matters: Related to classroom activities, victimization by teachers.
  2. Infrastructural Matters: Related to sanitation, preparation of food in canteen, amenities.
  3. Financial Matters: Related to payment system, fee structure.

 

Exclusions:

The Grievance Redressal Cell shall not entertain the following issues:

  1. Decisions of the Academic Committee and other Administrative Committees constituted by the college.
  2. Decisions with regard to scholarships, fee concession, awards etc.
  3. Decisions taken by the college with regard to disciplinary matters and misconduct.

 

Procedure of Grievance Registration:

Sundarban Mahavidyalaya has adopted a four-way window system for registration of grievances by the students and staff members. These are:

  1. Open Door Registration: Students and staff members can register complaints directly in the office of the Grievance Redressal Cell.
  2. Indirect Registration: Students and staff members can register complaints through the HoDs of the concerned departments. HoDs shall forward the complaints to the Grievance Redressal Cell. 
  3. Dropbox Registration: Students and staff members can drop their complaints in the complaint drop box available in the entrance of the main building of the college.
  4. Online Registration: Students can register complaints through web-portal. Teachers and staff members can register complaints through Email.
